Dear all,

 

After a discussion with Craig and the few points that he brought to my attention in relation to the issues that will be in the agenda,  I will change my vote to accept the attendance of Max for this EC meeting due to the fact that is the first one that we are having post AGM.

 

Also it would be appreciated if the content of the agenda is made available that way we are not going to just waist time but have a constructive meeting.

Let’s just follow through with the vote via email now as everyone has an idea on this matter already (because of the numerous emails during the afternoon).  Let’s just wait to see what the others come back with. Hopefully by tomorrow we can phone Maxine and confirm her attendance!

Hi Craig,
 Maxine has access to the draft agenda and I believe intends to post it out prior to the meeting. 

Im not clear on what you want added to the agenda for the meeting your statement seems to suggest that you wanted to discuss Maxines attendance which obviously she would not be at the meeting prior to the vote.  It would be best if you move the motion on email now  so we can vote and overturn last meetings decision prior to the upcoming meeting that way she could be at the 27th meeting and there would be no further need to discuss it at the meeting.

	"Resolve that we require a representative from the strata management agency to be present at all EC meetings"

			Hello everyone,

			 

			Based on my past experience with EC meetings, from time to time questions have come up regarding what is the “correct”procedure/notice required.  When such questions have come up in the past we have always had a representative from STM there to guide us.  Kate was perfect in this regard. 

			 

			I consider it is extremely important to always have this outside person at our meetings to keep everything in order, both in terms of the legalities and also that this person acts independently from those of us on the EC……..in the same manner as an outside auditor (as an example) is appointed by a company  to ensure everything is kept in order.

			 

			We have included the cost for an STM rep to attend our meetings in the past (it is really not a great charge overall).  This is one area where we must continue to maintain what has been a very successful way to conduct our meetings.

			 This was decided at last meeting. But judging by the votes at the previous meeting I think you have an up hill battle at gaining the necessary support. People are in a cost saving mode at the moment.  As for taking notes and maintaining minutes and sending correspondence, this is typically the job of the secretary. 
			
			Craig / Rob I suggest you move a motion now to overturn the money saving decision of last meeting and request a rep from the strata agent attend this meeting.

				How about Tropicana at 630pm?

				 

				As per Matt’s and Rob’s emails, we don’t have a quorum at this stage.  I contacted Di Dennison yesterday and asked for her proxy but I am still yet to hear from her.

				 

				Matt – as I mentioned at the last EC meeting we have in the past had a notification email from STM re upcoming EC meetings.  This didn’t happen this time.  Do you know why?  We always had Kate Maclachlan at our EC meetings in the past.  I have phoned and left a message for Maxine to call me to follow up on this point as she should also be there at our upcoming EC.

				 

				If everyone is prepared to wait until I hear back from Di, we may still be able to get together on Monday.  I will send her a reminder today and will get back to you asap, once I hear from her.
